Seeing as I have to fly OVER NINE THOUSAND kilometers (probably miles too) to get there, the cost of the hotel and badge is insignificant.
I REALLY want to get to the meetup, but there are many things I need to know before I can give an answer.
First and foremost, I need to know WHEN. If it's 2014 summer (I.E. August and onwards) then there shouldn't be a problem. If it's before, then it's gonna hit me in the middle of a possible semester (yes, I phrased that correctly. I don't know yet if I'll be studying that semester).

As for preference, I always wanted to go to one of the big conventions in the US.

P.S. How come so many people visited the forum this past week?

Okay, so it seems like we've got two different kinds of meetups we'd like to do... the large con reunion thing sometime in the summer of 2014, and then the Kali and Ez are in the States meetup at the end of 2014/start of 2015. Also possibly more meetups in future if other people from far away appear on this side of the globe and decide to advertise their presence. If that's the case, I think we should start by planning the con, which is a lot more fixed in terms of dates and locations, and then the other meetups can be planned when there's more information for them.

It seems like for the con reunion thing Dragon*Con 2014 is the winner by default, since I haven't heard much enthusiasm for anything else. The official dates for that con will be August 29 to September 1, 2014. Arrival will be Thursday, August 28, 2014 for pretty much everyone attending because attendees keep stretching the start earlier every year. Does that work for people? If you think that might work for you, could you add your name to the head count so that we can start getting an idea of how many rooms we'll need captains for?

Well, there's no particular discount in group registrations, so I'm going to suggest that everyone buy their own badge when they can afford it. You can do that as early as, I think, September 1st of this year, or as late as the day before the con. There's a substantial difference in cost the later you wait, though, so I do recommend buying early. In the event it turns out you can't make it, so long as you find out before July 2014 or so, you can sell off your badge through Dragon*Con's livejournal community. There's a $20 transfer fee to do that, but early badges are so much cheaper than later badges that most buyers are happy to pay that for you. So, no deadline on getting your registration, at least not one for the event as a whole. Room captains might require you to have bought a badge before they'll add you to their room, though, that's up to them.

Which brings me to the question of hotels and room captains. I think by September 1, 2013 we need at least two confirmed room captains who plan to book three rooms each, because the hotels are always a mad grab for rooms. It's probably best to have more rooms than we need as opposed to fewer, so I think six rooms is a safe bet. I have zero doubt that any rooms booked can be filled to capacity, so captains will not be stuck with the bill for an empty room, in the worst case scenario they may have a room which is filled with non-Kyhm forumers. That's assuming the Passkey system allows you to book multiple rooms, it might not. I haven't tried since they changed over, but I recall reading that it does. Sometimes if you're already at the con the year before (which I will be this year) you can book for the next year, but otherwise there will be an opening date for reservations which will be announced sometime during or after Dragon*Con this year. The host hotels are staggered as to when they open for reservations. This year the Hyatt (where I always stay) opened on October 17 or something and literally sold out in ten minutes. As in, I camped the site and started a reservation the second it opened, and by the time I'd finished making the reservation it was sold out. This year, they charged one night when you reserved, and will charge the rest at the con, and they'll probably do the same for 2014. So, we'll need room captains who are very on the ball and able to camp the reservation site (they don't do phone reservations), and who don't mind putting multiple rooms on their card.

There's also the question of whether or not we want all the rooms to be in host hotels. There are advantages and disadvantages to each. Host hotels have the events and the people and DCTV, but they cost more and there tends to be a wait for elevators. Non-host hotels cost less, but they don't have as many people or events and they're a longer walk from the con. It pays to book either one early, so room captains will still need to be ready, but non-host hotels can sometimes be booked without the insane scramble. We could also book a set of rooms in a host hotel (designated the hang out rooms), and a set in a cheaper, easier to book hotel if people want.

That said, the actual deadline for agreeing to be in a particular hotel and paying for your spot should be up to the room captain who put the room on their card. So... who is going to be a room captain?

So, room captaining!

I always book the same room at the Hyatt for Dragon*Con, I've even got the special Hyatt membership card which turns into tons of perks when I do, and regardless of the room situation for the reunion I will still be booking one room there for me and Poe. He needs somewhere to run away to, I like the fact that this particular room is not in a main tower and thus does not give me vertigo or long waits for the elevator, and I like having the room to cook, which is becoming a Dragon*Con tradition. Yes, I will happily feed people.

SO… I could be a room captain, but in all honesty I have mixed feelings about it. Our income is not the most stable thing on the planet, so I really don't want to drop money on reservations without already having enough paid room occupants to at least cover the deposit. If I'm getting three rooms at the Hyatt (one of which is a King already full with Poe and me), I'd need at least two people to pay ahead for their room slot before September 1, 2013, so that I'll already have the deposit ready just in case I can book early by being at the con this year. So I suppose I'll agree to be a room captain on the condition that I get two early confirmed people so I don't have to materialize the deposit on my own.

If I am a room captain, for my own peace of mind anyone taking a spot in one of my rooms will need to claim the spot and pay in full before December 1, 2013. Claimed spots won't be refundable because that's a headache waiting to happen, but they could be transferrable like the badges are. I would prefer that you already have bought your badge, too, but I won't require it. If there are still spots open on December 1, I'll open the rooms up to non-forumers.

Even I do become a room captain, we'd still need a second room captain, though.

Upon further checking, it seems the plane tickets are about 1300$. Both to and from make it 2600$. This is much more than I thought it would cost.
I'm having second thoughts...

In any case, Impy, please put me in the 'possible' list for now. I need to consult people.

I will try to give an update at the end of the month.

P.S.
Anyone knows a company looking for an inexperienced yet proficient and capable industrial engineer? My dream is working in the USA and finding a job there would make this whole problem much easier to handle.

Skjie and I have enough credit cards between us that room-captaining wouldn't be a problem. We may or may not claim a room just for the two of us depending on finances at the time (I love you all but I dislike having to be social with anyone but Skjie before the first cup of tea. :P ).

Rennya, I assume if you're willing to room captain that you and Skjie are in the confirmed category. Just to clarify, were you saying that you and Skjie would EACH be room captains, or that as a couple you would be a room captain? I'm assuming the latter for now, but please let me know if I should change it.

UPDATED AGAIN!

Upcoming Deadlines: Room Captains, please confirm that you will be a room captain and how many rooms you intend to get at which hotel by September 1, 2013. If you're booking in a host hotel, you may not be able to get as many rooms as you plan. A backup non-host hotel room captain getting a couple of nearby rooms might be a good idea, especially for those who need to save some money on the hotel.

Badge registration also probably starts September 1, 2013, but it may be limited to at-con pre-registrations until mid-September or so.

Yes, DragonCon 2014 should be totally do-able as it's in the summer and sufficiently far away for easy preparing. If we are somehow hard up for room captains then Skjie and I could both separately captain rooms, but we'd prefer to keep things on the travel-points Visa and just set up rooms as a couple.

I will not take charge of a reservation. I have a tendency to forget about things like deadlines.

That said, I have no problem fronting the cost for my share to either Impy or Wren.

And if given time and space enough to cook, we'll see what I can come up with.

Okay, so, now that I've survived my hysterectomy and can be reasonably sure I'll be able to attend next year, time for another UPDATE!

For right now, I'm going to just put the people who will be attending in my open rooms so we can see how much space will be needed. We'll scramble room assignments once there's more people, okay? So far we're at six people who are pretty darn sure they can make it, one person who is certain they want to make it but hasn't given me a definite yet, and a host of maybes.
